We are currently seeking a Program Coordinator to provide administrative assistance to the Adult Supports team. This role is ideal for a highly organized, service‑oriented professional who enjoys working behind the scenes to keep programs running smoothly and wants their work to make a real difference.
Administrative & Program Support
- Provide comprehensive administrative support to the Adult Supports Director, Manager, Supervisors, and Programs
- Prepare, design, and manage documents, reports, and presentations
- Coordinate meetings and transcribe minutes as required
- Maintain organized filing systems and participate in document archiving
Data & Systems Administration
- Act as the Administrator for the AIMS database for Adult Supports
- Manage client file numbers, data entry, revisions, and troubleshooting
- Produce reports, labels, and ad‑hoc data requests
- Assist with data collection, statistical reporting, and attendance tracking
Intake & Funding Coordination
- Coordinate intake for Adult Supports Programs
- Receive, review, and confirm intake information from external sources
- Maintain accurate intake and discharge records
- Provide oversight and coordination of Passport funding processes
Purchasing, Equipment & Logistics
- Coordinate centralized purchases for programs, including health & safety and support equipment
- Research products, obtain quotes, and maintain inventory records
- Coordinate documentation for medical and assistive equipment with suppliers
Cross‑Functional & Backup Support
- Provide backup coverage for the Administration Team:
- Administrative Assistant, responding to in person/on-line inquiries and directing callers and visitors
- Purchasing & Maintenance Coordinator, assisting with work orders and property requests
- Participate in meetings, special projects, and continuous improvement initiatives
Compliance & Workplace Standards
- Ensure all work aligns with Ministry requirements, legislation, and agency policies
- Maintain confidentiality at all times
- Participate in health and safety initiatives to support a safe workplace
Required Qualifications
- Advanced proficiency in MS Office / Windows/Canva and related computer programs
- Experience navigating and managing data within AIMS (or comparable systems)
- 1–2 years of administrative experience in a fast‑paced unionized environment
- Exceptional organizational, communication, and customer service skills
- Strong prioritization and problem‑solving abilities
- Experience maintaining accurate, up‑to‑date electronic and paper filing systems
- Ability to handle confidential information with discretion
Additional Requirements
- Valid Ontario driver’s license
- Minimum $1 million liability insurance (use of own vehicle required)
- Flexibility to work occasional evenings when required
Work Schedule
Hours: 40 hours/week, Monday–Friday, 9:00am–5:00pm (in‑office)
Start Date: To be arranged
Compensation & Benefits
- Starting rate: $28.25-$29.25
